Electronic Invoicing in Latin America

While electronic invoicing in Europe and North America aids in systematization and facilitates transactions, e-invoicing in Latin America serves another purpose. As the invoice recipient, the authorities are responsible for authorization.

Companies are only entitled to send invoices once the responsible authority has authorized it. The authenticity of the electronically transferred data is guaranteed for the invoice in the form of a certifi cate. When preparing a consignment, the invoice Details must be sent to the relevant authority in a standardized XML file. As soon as the fi le is approved, the electronic invoice is created and sent to the supplier.

The documents created vary from country to country and are subject to continuous updates. For example, in Brazil, the goods invoice must be included in printed
form while in Mexico, the goods can be sent before the invoice.

serves another purpose.

Checks may be carried out at any time, whereby the papers must be present. When receiving the goods, the buyer must sign off the invoice and confi rm the receipt of goods. The difficulty in this process lies in ensuring a functioning connection to the SAP system. Although SAP offers solutions for the respective national requirements, a transnational, standardized solution is still not available. This is why we offer an alternative uniform solution for our clients who are active in various Latin American countries. In comparison to a solution in the SAP system, the common practice of manually creating documents and a single transfer to the authorities is associated with a high degree of personnel costs, slowed business operations, and high transactions costs with a concurrent susceptibility to errors.

Since there is no standardized solution in SAP for the required fields of the documents to be electronically transmitted, manual creation and maintenance is required. Empirical evidence shows that incorrect entries in the SAP system lead to signifi cant delays in business transactions. To save costs and minimize errors, you can rely on our solution for customization to continuously modified regulatory standards.
